Check List for Colloquium Coordinators

The department chair designates the colloquium chair and committee members at the beginning of each academic year.

A memo is sent to all faculty, research fellows, and graduate students at the start of the semester soliciting ideas and names of possible speakers. The committee members meet (at the beginning and during the semester) to give suggestions and communicate ideas and fields of interest. Each of them will contact prospective speakers for specific Thursday dates. Once the speaker accepts the invitation, both colloquium chair and colloquium coordinator are informed, in order to reserve the date.

The Colloquium Coordinator, in conjunction with the chair's office, puts together the colloquium schedule, which is then distributed to the other members of the committee. Reserve Room A10 for all colloquium dates with the Undergraduate office assistant.

Colloquium Logistics:

  • Contact the speaker for title, overnight & transportation needs, and specific audio-visual requests.
  • Send speaker city and campus maps, if needed.
  • Make hotel and limo reservations.
  • Prepare a meeting schedule for visitor, if requested by host, and send it to speaker and those involved.

Lunch:

  • The speaker is invited to a Pizza lunch with the Physics Undergraduates. Order pizza, stay in contact with the faculty coordinator.

Dinner:

  • Several days before colloquium date: the host contacts or asks the group's support staff member to contact and invite a number of department members to accompany the speaker for dinner.
  • Once there is a count, make dinner reservations.

On day of Colloquium:

  • give the host a travel voucher - to be filled out and signed by the speaker (see travel procedures for more detail)
  • check on lecture hall, equipment
  • check sign in reception area
  • speaker is usually invited by the host to the 4PM Tea in the Faculty Lounge, Jadwin 218, immediately before the talk.

After Colloquium:

  • process expense vouchers for hotel, restaurant, speaker's expenses, and for the host's expenses.

Announcements:

  • submitted to the Princeton Weekly Bulletin
  • put on the university on-line calendar (calendar.princeton.edu)
  • sent to Ray Laue to provide audio-visual equipment and large sign
  • emailed to interested people at PPPL, IAS, and other interested departments
  • email notice and/or hard copy placed in all mail boxes on the 1st floor
  • hard copy placed in elevators and 2 bulletin boards (one outside dept. chair's office and the other across from faculty lounge)
